How My Photos May Be Used

My photos may be used for:

  • Posts on [Organization]'s social media channels and website
  • Storing my photos with my contact details in [Organization]'s CRM, so the team can follow up with me

After guests sign: consent checklist

  • Store each signed release with the guest it belongs to, with the date and event name.
  • Record the marketing opt-in as its own yes or no, separate from the photo release.
  • Sync the opt-in status to your CRM with the contact, so only opted-in guests get marketing.
  • Use photos only for the uses listed on the form.
  • Send each guest their photos in seconds, while they are still at the event.
  • Act on removal requests sent to your contact email, and log the date.

What Is a Photo Release Form?

A photo release form is a signed permission that lets you photograph a guest and use the photos for the purposes listed on the form. It is also called a photo consent form or photo permission release form.

Most photo release templates are written for weddings, model shoots or schools. Brand events need more. Guest photos go on social media, into paid ads and into your CRM, and guests expect to get their photos right away.

A brand event photo release also keeps marketing consent separate, so a guest can agree to the photos without joining your mailing list.

What to Include in an Event Photo Release Form

Who takes the photos, and where
Name the organization, the photographer or agency, the event, the date and the venue.
How you will use the photos
List each use: social media, your website, paid ads, press, or storing photos in your CRM. Uses you leave off need new consent.
Payment and editing
Say that guests are not paid and that you may crop photos or add event and sponsor branding.
Photo delivery
Tell guests how they get their photos. With instant delivery, photos arrive by text in seconds.
Marketing opt-in
A separate, unticked checkbox for email and text marketing, so the photo release does not depend on it.
Age confirmation and guardian consent
Ask guests to confirm they are 18 or older, and add a parent or guardian signature for family events.
How to withdraw consent
Give an email address for removal requests and explain what happens to material already published.
Signature and date
Full name, signature and date, plus the contact details you need to send photos.

Photo Release vs Photo Consent Form vs Photo Waiver

These names cover the same idea: written permission to photograph someone and use the photos. The wording and scope change a little between them.

Photo release form
Permission to photograph a person and use the photos for the listed purposes.
Photo consent form
The same permission, worded as consent. Common in schools, healthcare and the EU.
Photo permission release form
Another name for a photo release, often used for minors and family events.
Photo waiver release form
A release that also asks the guest to give up claims about how the photos are used.

Keep Marketing Consent Separate and Sync It to Your CRM

A photo release lets you use a guest's photos. It does not let you email or text them. Ask for marketing consent with its own unticked checkbox, so guests choose each one on its own.

After the event, store each signed release with the guest it belongs to. Sync the opt-in status to your CRM with the contact, so only guests who said yes get marketing. The generator above builds this checklist for your event next to the preview.

Impulse does this during signup and syncs each guest to HubSpot, Salesforce or Microsoft Dynamics 365 with their consent status. See how CRM sync works.

Photo Release Form Examples for Brand Activations

Load an example into the generator to see how the form changes with each setup. These are hypothetical examples: the brands, agencies and events are made up.

Beauty brand pop-up

A 3-day launch pop-up. Photos go on social and into the CRM, and guests can opt in to launch offers.

Hypothetical example: Glow Lab Pop-Up, Northfield Beauty Co.

Sponsor tailgate at a game

Families visit a sponsor tent, so the form adds a parent or guardian block for guests under 18.

Hypothetical example: Homecoming Tailgate, Lakeshore Credit Union

Press launch dinner

A press and partner dinner. Photos go into press recaps and the CRM, and the form asks for each guest's company.

Hypothetical example: Summit Series Launch Dinner, Arcline Spirits

Collect Photo Releases and Send Photos in Seconds

With Impulse, guests scan a QR code at your activation and sign up on their phone, with no app required. They accept your photo release and choose their marketing opt-in in the same step.

Image recognition matches each guest to their photos, and event photos arrive by SMS or WhatsApp in seconds. Each signed release and opt-in is stored with the guest, ready for your CRM.

Photo Release Form Questions

What Is a Photo Release Form?

A photo release form is a signed permission that lets you photograph a person and use the photos for the purposes listed on the form. It is also called a photo consent form or photo permission release form. At brand events, it covers guests photographed at your activation and says where their photos may appear.

Do I Need a Photo Release Form for a Brand Event?

If you plan to use guest photos in marketing, ads or your CRM, get written consent from each guest you can identify. Commercial uses such as paid ads usually need clearer consent than news or editorial use. Rules differ by state and country, so ask your counsel which uses need a signed release at your event.

What Is the Difference Between a Photo Release and a Photo Consent Form?

They do the same job: they record a person's permission to be photographed and to have the photos used. "Release" is common in the US, and "consent" is common in schools and in the EU and UK. A photo waiver release form goes further and also asks the person to give up claims about how the photos are used.

Is a Photo Release the Same as Marketing Consent?

No. A photo release covers the use of photos. Marketing consent covers sending someone emails or texts. Keep them separate, with an unticked marketing checkbox, so guests can agree to one without the other. Store the opt-in status with each contact and sync it to your CRM.

How Do I Get Photo Consent From Guests Under 18?

Ask a parent or legal guardian to sign for them. Turn on the parent or guardian block in the generator above, which adds the guardian's name, signature and date to the form. The age of majority differs by state and country, so check it with your counsel.

Can Guests Withdraw Their Photo Consent?

Yes. Give guests an email address for removal requests and stop using their photos in new material once they ask. Photos already printed or published may stay in use, and the form should say so.

Can I Use This Photo Release Form Template in Google Forms or Word?

Yes. Copy the form text from the generator and paste it into Google Forms, Typeform, Word or your event signup page. You can also download it as a fillable PDF that guests complete on a tablet or print and sign.

Is This Photo Release Form Template Legally Binding?

This template is not legal advice. Whether a release holds up depends on where your event takes place, who signs it and how you use the photos. Have your counsel review the wording before you use it.

How Does Impulse Collect Photo Releases at Events?

Guests scan a QR code at your activation and sign up on their phone, with no app required. They accept your photo release and choose their marketing opt-in during signup. Impulse stores the consent with each guest, syncs it to your CRM and sends guests their photos by SMS or WhatsApp in seconds.
