You can send event leads to Microsoft Dynamics 365 with the built-in import from CSV. Export your guest list from the Impulse client portal, import the guests as leads in Dynamics 365 Sales, and add them to a marketing list for the event. Your team can follow up with every guest who opted in the day after the event.
Impulse collects guest details when guests sign up to get their event photos. Each signup becomes a first-party lead with a phone number and the answers to your signup form. At the 2026 NACDA convention, 1,400+ attendees took part in the NACDA26 Photo Hub. That is a list you don't want to type in by hand.
What You Need Before You Start
An Impulse event with guest signups, and access to the Impulse client portal
A Dynamics 365 Sales user with permission to create leads and import data
A marketing list for the event, if you want to group these leads. You can also create it after the import.
Step 1: Export Your Guest List From Impulse
Sign in to the Impulse client portal at portal.impul.co and open your event.
In the left menu, click Guest List.
At the top right, click the settings icon to open Configure CSV export. Choose the columns you want and drag them into order. Turn on GalleryLink if you want each lead to carry a link to their photos. It's off by default.
Click Export CSV. The file downloads with a name like
guests-<event>-<date>.csv.
Screenshot: the Guest List page with the Configure CSV export panel open.
The export can include these columns:
HumanId: the Impulse ID for the guest
GalleryLink: a link to the guest's photo gallery (off by default)
PhoneNumber: the mobile number the guest signed up with
SignupDateUTC: when the guest signed up, in UTC
MostRecentCheckInUTC: when the guest was last checked in, in UTC, if your team checked guests in
OptedIn: marketing consent. The guest ticked the marketing opt-in checkbox when they signed up.
OptedOut: unsubscribe flag. The guest replied STOP to your texts.
Your signup fields: one column for each field on your event's signup form, such as name or email if your form asks for them
Check that phone numbers kept their country code. If a spreadsheet app has changed them, export again.
Step 2: Add the Fields Dynamics 365 Requires
A lead in Dynamics 365 Sales needs a Topic and a Last Name.
Topic: add a Topic column with the event name, for example "Summer Tour Austin 2026 guest". It also tells your sales team where the lead came from.
Last Name: if your signup form asks for a name, use that column. If not, fill a Last Name column with a placeholder such as "Event guest". HumanId keeps each lead unique.
Add a Lead Source column too, if your org uses that field. The value must match an option that already exists in Dynamics 365, or the row fails.
Before you import, remove guests flagged in OptedOut, because they replied STOP and unsubscribed. If you plan to send marketing, keep only guests flagged in OptedIn, because they ticked the marketing opt-in checkbox at signup.
Ask your admin to add custom lead columns in Power Apps for HumanId, GalleryLink, SignupDateUTC, MostRecentCheckInUTC, OptedIn (marketing opt-in) and OptedOut (unsubscribed by replying STOP), so every event lands in the same place.
Step 3: Import the File
Open the Sales Hub app and go to Leads.
On the command bar, open Import from Excel and choose Import from CSV. If you don't see it, ask your admin. Some apps hide the command.
Choose your CSV file and click Next.
Click Review Mapping.
Step 4: Map the Fields
The two date columns are in UTC. Check a few values after the import to make sure the times look right.
Click Finish Import. Dynamics 365 runs the import in the background.
Step 5: Check the Import
Open the import job from the link on the import screen, or from Settings > Data Management > Imports.
Check how many rows succeeded and why any rows failed.
Open a few new leads and check the topic, phone number and gallery link.
If duplicate detection is on, Dynamics 365 can flag guests who are already in your CRM. Review those in the import job before you merge them.
Step 6: Add the Leads to a Marketing List
Go to Marketing Lists and open (or create) the list for the event.
Choose Add Members, then filter on Topic to find the leads you just imported.
Add only guests flagged in OptedIn, the marketing opt-in.
The marketing list is now your follow-up audience for email or a sales call campaign.
How to Follow Up With Event Leads in Dynamics 365
Assign the leads to owners with a view filtered on the event topic.
Email consenting guests within 48 hours with their gallery link.
Report on qualified leads and opportunities from the event topic to compare events.
To estimate what those leads are worth, use the event ROI calculator.
Frequently Asked Questions
Does Impulse sync directly with Microsoft Dynamics 365?
CSV import works today with any Dynamics 365 Sales org, and this guide covers it. If you want a direct sync instead, contact your Impulse contact to set it up.
Should event guests be leads or contacts?
Import new people as leads, so sales can qualify them. If most guests are existing customers, import them as contacts and let duplicate detection match them to their records.
Why did some rows fail?
The usual causes are a missing topic or last name, or an option value that doesn't exist in your org. The import job lists the reason for each failed row.
Can I do the same with HubSpot or Salesforce?
Yes. See how to send event leads to HubSpot and how to send event leads to Salesforce.
